Terms and Conditions for reservations

Reservations can be made on the website or by sending a reservation form to the Technical Secretariat. 

Hotel reservations will only be confirmed once payment has been made and proof of payment has been sent to the Technical Secretariat.

You can ONLY be sure that your reservation has been received and processed once you receive your confirmation number at the end of the process.

Please take note of this number as it will be required for any future consultations or modifications.

A valid email address is required to be able to confirm your reservation.


IMPORTANT: From the moment the reservation is made, you will have 10 days to make the payment and to send proof of payment to the Technical Secretariat (by email to Otherwise, the reservation will be automatically cancelled.

Individual hotel reservations cancellation policy

  • Cancellations need to be made in writing and sent to the Technical Secretariat:
  • Cancellations that take place until 25th May will incur a 25% cancellation fee. 
  • Cancellations that take place between 26th May and 12nd June will incur a 50% cancellation fee. 
  • Cancellations that take place from 13rd June in advance will incur a 100% cancellation fee.
